- Technical Data: Automatically collected information like IP addresses, device details, browser type, and logs for security and functionality.
- Proprietary Data: Our internal datasets (e.g., simulation profiles) that do not include your personal information unless you contribute inputs.
- We do not collect sensitive categories (e.g., health, racial origin) unless inadvertently revealed in reflections or recordings, in which case we apply heightened protections and delete if not essential.

- Automatically: Via platform usage and cookies (for essential functions only; no tracking for advertising).
- From Partners: Educational institutions may provide cohort details (e.g., IDs) for access provisioning.
- Third-Party Integrations: Services use Amazon Web Services (AWS) for hosting and OpenAI (or alternative large language models upon request) for AI processing. We configure these to minimize data exposure and comply with AI compliance checks.
3. How We Use Your Information
We use information solely for legitimate educational and improvement purposes, ensuring ethical AI governance:
- To deliver and personalize Services (e.g., generating simulations based on inputs).
- To analyze usage for platform enhancements (e.g., incorporating feedback from AI governance perspectives).
- For research and evaluation in partnerships (e.g., assessing impact on confidence via surveys/reflections; anonymized aggregation for publication).
- To ensure security, prevent misuse (e.g., against harmful disclosures), and comply with legal obligations.
No marketing or unrelated uses without separate consent.
For AI processing, user inputs may be sent to providers like OpenAI, but we offer opt-outs, alternatives, and instructions to prevent use in model training or unintended harm.

- With Educational Partners: In pilots, anonymized or pseudonymized data (e.g., surveys, reflections, metrics) may be shared for joint analysis, research, or publication. Identifiable data is shared only with explicit consent and under separate agreements ensuring equivalent protections.
- With Service Providers: AWS for storage (in secure, compliant regions) and AI providers (e.g., OpenAI) for processing. These act under our instructions with strict contracts prohibiting independent use or disclosure.
- For Legal Reasons: If required by law, regulators, or to protect rights/safety, including responses to compliance checks.
- No Sales: We do not sell your information.
Cross-border transfers (e.g., to our Hong Kong base or provider locations) use safeguards like contractual clauses to maintain protection levels and prevent harm.
5. Storage and Security
- Storage: Data is stored on AWS servers with encryption at rest and in transit. We select regions to support secure operations and minimize transfer risks.
- Security Measures: We employ industry-standard protections, including access controls, regular audits, vulnerability scans, multi-factor authentication, and AI risk assessments. In pilots, recordings are stored securely and accessible only to authorized personnel.
- Retention: Information is kept only as long as needed (e.g., during a program + 12 months for analysis/reporting), then securely deleted or anonymized.
- In a breach or serious invasion, we notify affected individuals and authorities within 72 hours, providing mitigation steps and support.
6. Your Rights and Choices
You have enhanced control over your information, reflecting updated protections:
- Access and Correction: Request to view or update your data.
- Deletion or Restriction: Ask us to delete or limit use (subject to legal retention).
